It carries too much of a sense of negotiating, planning, working together, whereas the intended meaning appears to be to forge links. Like Teddy, I don like gathering either, and suggest you want event, or even meeting. D.

"...in my absence" means "if I am away"; i.e. it is conditional. "...during my absence" can mean the same thing, but it can also mean "... please wait until I'm away to liaise....
